Conclusion


 HRIS is a one of important knowledge that l have learnt for this semester.  Hopefully, that everything that I learnt about HRIS, I can remember and apply for my future task. There are a lot of benefits that I can get from having a good HRIS system. Human resource information is really important since these all involve the core our company and employee. HRIS also can improve information sharing and communication between the company and the employees. For example is by using web-based employee self-service. From my reading HRIS made it easy for the human resources department to smoothly operate all components.
Moreover, HRIS is usually fused with information technology to focus on human resource management. This system consolidates computerized employee data into one data bank. It also can updates prior and future decisions according to the company’s human resource management plan. HRIS also makes it possible for online users to view an employee’s history with the company, personal profile and benefits.
Actually, HRIS is one of interesting subject during my study at university. I know several system that used by organization in order to operate their business effectively. For example UTM have their own web-based employee self-service to facilitate employee to access information.

Overview of Employee Self Service (ESS)
                                                                                                                       
ESS is a web base application that enable employee to interact directly with their human resource data to inquire, review and act upon transactions in the workplace. ESS allows users to change their own address, contact detail and so on. ESS also involves the use of internet based technology to allow all employees to access human resource database using internet. Internet or Intranet is two ways that a company can provide access to employee self-service. Employee can access self-service from anywhere in the by using a computer, a browser and a phone line connection to the internet if the company choose to open access via Internet. There are several types of self-service application which are Interactive Voice Response, Internet and intranet. In this blog, I focus on web-based self-service via a company intranet or the Internet.

Features are usually used
Basically, ESS includes of administrative service such as employee communication and personal data updates for employee such as address, emergency contact, bank account detail and leave request. So employees can manage their personal detail anytime and anywhere. HR may choose to give employees the ability to view and update information when a company implements ESS. There are two factors that employee allows update their information, first if the information is the employee’s own personal information and second if the employee is given management right. Below are examples of features:

Employee Self Service Application:
    •   Personal data maintenance 
    •   Employee communication 
    •   Benefit inquiry 
    • Family status change
 Manager Self Service Applications:
    • Management report 
    •  Time card approval 
    • Travel and expense management 
    •   Leave management
 Advantages of using web-based employee self service
              There are several advantages of implementing ESS. First of all is about cost saving. When employees have access to self-service, they are able to answer many questions independently, thus lowering the number of phone calls to the HR or payroll department. Moreover, less money is spent on paper forms if employees and managers are able to update information online because employee information is captured electronically and sent to the appropriate approver, so there is no rekeying or data from paper forms.
              Next is cost avoidance. Satisfactory service can provide by HR department to more workers without department headcount. HR manager also can rest easier knowing the information in their database will have higher degree of accuracy than ever before. When managers can submit new hires, salary increases, and performance reviews to the appropriate HR manager for approval, transactions are processed faster than paper-based system. Research shows that most organization indicate that the main reason for implementing ESS technology are to reduce cost and to improve HR service and employee satisfaction, (The Hunter Group,2001)
             Besides that, employee also get some benefit include better option for communication with management team, the collaboration between employee department will be improved, and variety human resource document  and file can access easily. Finally, employee and manager self-service result in key benefit for the HR department.

Web Based Human Resource Planning: Recruiting and Staffing

Human Resource Planning

Human Resource Planning (HRP) may be defined as strategy for acquisition, utilization, improvement and preservation of the human resources of an enterprise. According to Mondy et (1996) Human Resource Planning is a systematic analysis of HR needs in order to ensure that correct number of employees with the necessary skills are available when they are required. The role of HR department to recruit and select the best candidate is important to avoid employee turnover from an organization. So, recruitment is important process to achieve HRP strategy. 

Recruitment and Selection  
  
In human resource management context, recruitment refers to the process of finding possible candidates for a job or function, undertaken by recruiters. It’s also involves the process of seeking and attracting a poll qualified applicants using several of recruitment method. Advertising is commonly part of the recruitment process by using newspaper, through professional publication, through a job center, through campus interview, and the latest trend nowadays  recalled E-recruitment or online recruitment. Another process which is also important is selection. Selection is the process to identify and hire individual or group of individual to fill job vacancies within organization. In this process, HR manager play important role to make sure only the qualified candidate are chosen in selection process. There several method that can be used in personal selection. For examples include oral interview, resume review and personal test.                   
                                                             
Web-Based Recruitment

            When we talk about web-based recruitment, we may be illustrated in our mind about e-recruitment. E-recruitment is the use of online technology to attract and source candidate and aid the recruitment process. The tool can be a job website such as JobStreet.com, the organization corporate web site or its own intranet. Many organizations whether big or small are using Internet as a source of recruitment by advertise job vacancies through worldwide.

Advantages and Disadvantages of E-Recruitment

The biggest perceived advantage by using online recruitment is that an individual can quickly and easily access information via internet for job vacancies.  Examples, when a job vacancy can put on a job site such as JobStreet.com in the morning, the first application arrives by lunchtime, and a candidate interviewed by the end of the day. For organizations, online recruitment provides an opportunity for job to be advertised in local or global. So recruiter can get more applicants easily. By using e-recruitment system, an organization can reduce cost compared to print advertising.

The disadvantage of online recruitment is too many candidates. Candidate spam can waste a lot of time. However, with a bit of thought about what site we use, how we write the job description and using screening and filtering tools on job boards can reduce the number of irrelevant applicants. Sometime, online recruitment won’t always work because not all job vacancy that we post can be filled online. Besides that, candidates who see our job posting will be relying on our website to gain more information about our company related to mission and method of operation. If our website is poorly designed or out of date, the candidate may not even bother to respond. There's also the possibility that the site won't have relevant information regarding the candidate's area of interest.
